Flat vs per-seat CRM pricing, explained
Most CRMs bill per user. RealAgentOne bills per account. Here's how the two models work, where each one makes sense, and how to work out what any CRM will really cost your team.
How per-seat pricing works
A "seat" is one person's login. The monthly bill is the per-seat price times the number of seats, and plans often add tiers and paid add-ons on top. Every agent you add, and often every assistant or transaction coordinator who needs to get in, adds a seat.
That has side effects. Teams share one login to keep the bill down, so nobody knows who called whom. Assistants get left out of the CRM and work from spreadsheets. And the CRM bill becomes a reason to think twice before adding a part-time agent.
How flat pricing works
Flat pricing charges one amount for the account. With RealAgentOne that's $50 a month with unlimited agents, so the price is the same at 1 agent or 30. Each person still gets their own login, so you keep the history of who did what.
The math at different team sizes
Per-seat cost is simple multiplication. The per-seat prices below are round numbers for illustration, not quotes from any vendor.
| Team size | At $25 per seat | At $50 per seat | At $75 per seat | RealAgentOne |
|---|---|---|---|---|
| 1 agent | $25/mo | $50/mo | $75/mo | $50/mo |
| 3 agents | $75/mo | $150/mo | $225/mo | $50/mo |
| 5 agents | $125/mo | $250/mo | $375/mo | $50/mo |
| 10 agents | $250/mo | $500/mo | $750/mo | $50/mo |
| 20 agents | $500/mo | $1,000/mo | $1,500/mo | $50/mo |
| 30 agents | $750/mo | $1,500/mo | $2,250/mo | $50/mo |
$40 is an example. Use the per-user price on your own CRM invoice.
When per-seat can cost less
If you're a solo agent, some per-seat CRMs cost less than $50 a month for one user. Flat pricing pays off as soon as the per-seat bill for your team passes $50 a month, and the gap widens with every person you add. Run your own numbers in the calculator above.
Price isn't the only difference. Some platforms bundle websites, IDX listing search or lead generation, which RealAgentOne doesn't include. Compare what you'd actually use.
Questions to ask any CRM vendor
- Who counts as a seat? Do assistants, admins and part-time agents each need one?
- Which features are paid add-ons: texting, a dialer, IDX websites, lead routing?
- Is there a setup or onboarding fee?
- Is it month-to-month, or an annual contract?
- What do texting and carrier registration cost, and who handles them?
